These Terms are a general starting point for InvoiceSnap AI. Review them against your actual product, pricing, business location, and applicable law before publishing. They are not a substitute for advice from a qualified legal professional.

1. Agreement to These Terms

Welcome to InvoiceSnap AI (“InvoiceSnap AI,” “we,” “us,” or “our”). These Terms of Service (“Terms”) govern your access to and use of the InvoiceSnap AI website and application, including features for receipt scanning, invoice data extraction, expense tracking, and AI-assisted expense questions (collectively, the “Service”).

By accessing or using the Service, you agree to these Terms. If you do not agree, do not use the Service. If you use the Service on behalf of a business, you confirm that you are authorized to accept these Terms on its behalf.

Our Privacy Policy explains how personal information is handled and is incorporated by reference where permitted by law.

2. The Service

InvoiceSnap AI is designed to help users digitize receipts and invoices, extract expense details, organize spending, view summaries, identify potential duplicates, and export records. Available features may change over time.

The Service is a productivity tool. It is not a bank, payment processor, certified accounting system, tax adviser, auditor, law firm, or financial adviser. Unless expressly stated, it does not submit tax returns, make payments, or guarantee compliance with accounting or tax rules.

3. Eligibility

You may use the Service only if you can legally agree to these Terms under the laws that apply to you. The Service is not intended for children who are below the minimum age permitted to use it under applicable law.

If you use the Service for a company or other organization, you represent that you have authority to bind that organization to these Terms.

4. Accounts and Account Security

Some features require an account. You agree to provide accurate information, keep your account details reasonably current, and take reasonable steps to protect your login credentials.

Authentication is provided through Supabase. You are responsible for activity conducted through your account, except to the extent that applicable law provides otherwise. Notify us promptly if you believe your account has been accessed without authorization.

Do not share access to your account in a way that compromises your data or violates these Terms. We may take reasonable steps to protect accounts and the Service from misuse.

5. Acceptable Use

You agree not to:

  • Use the Service for unlawful, fraudulent, deceptive, or harmful activities.
  • Upload documents you do not have permission or a lawful basis to use.
  • Attempt to access another user's account, receipts, or expense records.
  • Probe, scan, or bypass authentication, security controls, usage limits, or access restrictions without authorization.
  • Interfere with the Service, overload its infrastructure, or introduce malware or malicious code.
  • Reverse engineer or misuse the Service except where such restriction is prohibited by law.
  • Use the Service in a way that infringes another person's rights or violates applicable law.
  • Misrepresent AI-generated output as verified professional advice or guaranteed accurate financial records.

We may investigate suspected violations and take proportionate steps to protect users and the Service.

6. Your Content and Expense Data

You retain your rights to the receipts, invoices, and other content you submit, subject to rights held by others. You are responsible for ensuring that you have permission to upload and process the content and that doing so complies with applicable law.

You grant us the limited rights reasonably necessary to host, store, reproduce, transmit, and process your content to operate and provide the Service, including sending relevant content to configured service providers such as Supabase and Groq when needed for requested features.

You are responsible for reviewing extracted data, maintaining any records you need, and exporting important information. Do not use the Service as the only copy of records you are legally or operationally required to retain.

Information handling is further described in our Privacy Policy.

7. AI Features and Accuracy

The Service may use AI and OCR technologies to extract information from receipts, categorize expenses, detect possible duplicates, and respond to questions about saved expenses. These systems can produce incorrect, incomplete, outdated, or misleading results.

You must review important information, especially totals, taxes, dates, currencies, merchant names, and line items, before relying on it. AI answers may omit context or misinterpret records. You remain responsible for your accounting, tax, financial, and business decisions.

AI features are provided for informational and organizational assistance only. They do not constitute professional accounting, tax, legal, investment, or financial advice. We do not guarantee any particular AI result.

8. Third-Party Services

The Service relies on third-party providers, including Supabase for authentication, database, and cloud storage functions, and Groq for configured AI processing. Your use of features that depend on these providers may involve the processing of relevant data by them.

Third-party services may be subject to their own terms, availability, and privacy practices. We are not responsible for services outside our control, except where applicable law provides otherwise. See our Privacy Policy for more information about data handling.

9. Temporary Demo Mode

The Service may offer a demo mode that lets visitors explore selected features without creating a full account. Demo features, available data, and session behavior may differ from the full Service.

Demo data may be reset, changed, or deleted and should not be treated as permanent storage. Do not upload sensitive, confidential, or real financial documents to demo mode unless you have reviewed the applicable data-handling information and are comfortable proceeding.

10. Service Availability and Changes

We aim to keep the Service useful and available, but we do not guarantee uninterrupted, error-free, or continuous operation. The Service may be unavailable because of maintenance, technical issues, provider outages, security concerns, or circumstances beyond our reasonable control.

We may add, modify, suspend, or discontinue features. Where reasonably practicable, we will provide notice of material changes, subject to security, legal, and operational needs.

11. Fees and Future Paid Features

Any fees, usage limits, or paid features will be disclosed to you before you are charged. If paid subscriptions or purchases are introduced, additional terms may apply, including pricing, billing cycles, renewal, cancellation, and refund rules.

Unless clearly stated at the point of purchase, we do not promise that any particular feature will remain free or available indefinitely. Nothing in this section overrides mandatory consumer rights under applicable law.

12. Suspension and Termination

You may stop using the Service at any time. If account deletion is available, you may use the provided controls or contact invoicesnapai@gmail.com for assistance.

We may restrict, suspend, or terminate access if we reasonably believe that you have violated these Terms, created a security risk, used the Service unlawfully, or if continued operation is no longer feasible. Where appropriate and legally permitted, we will provide notice or an opportunity to address the issue.

Termination does not remove rights or obligations that arose before termination. Data deletion is handled as described in the Privacy Policy and applicable law.

13. Disclaimers

To the maximum extent permitted by applicable law, the Service is provided on an “as is” and “as available” basis. We do not warrant that the Service will always be secure, uninterrupted, accurate, error-free, or suitable for every purpose.

We do not guarantee the accuracy of OCR, AI classifications, duplicate detection, spending summaries, or exported records. You should independently verify information before using it for accounting, tax filing, reimbursement, compliance, or other important decisions.

Nothing in these Terms excludes a warranty or consumer right that cannot lawfully be excluded.

14. Limitation of Liability

To the maximum extent permitted by applicable law, InvoiceSnap AI and its operators will not be liable for indirect, incidental, special, consequential, exemplary, or punitive losses, or for loss of profits, revenue, business opportunities, goodwill, or data arising from your use of or inability to use the Service.

To the maximum extent permitted by applicable law, our total liability for claims relating to the Service will be limited to the amount you paid us to use the Service during the twelve months before the event giving rise to the claim, or, if greater limitation is not permitted or no payment was made, the minimum amount permitted by applicable law.

These limitations apply only to the extent allowed by law. They do not limit liability that cannot legally be limited, including any mandatory consumer protections that apply.

15. Indemnity

To the extent permitted by applicable law, you agree to be responsible for reasonable claims, losses, and costs arising from your unlawful use of the Service, your violation of these Terms, or your infringement of another person's rights. This section does not apply where prohibited by law and does not remove any rights you may have as a consumer.

16. Changes to These Terms

We may update these Terms as the Service evolves or legal requirements change. We will update the effective date at the top of this page. Where required by law, we will provide notice of material changes or request your agreement.

If you do not agree to updated Terms, you should stop using the Service. Continued use will constitute acceptance only where permitted by applicable law and after any required notice or consent process.

17. Governing Law and Disputes

These Terms are subject to the laws that apply to the operator of InvoiceSnap AI and the user's use of the Service, without removing any mandatory legal protections available to consumers under applicable law.

Before publishing: identify the legal person or business operating InvoiceSnap AI and obtain legal advice on the appropriate governing-law, jurisdiction, and dispute-resolution wording for that operator and its users. This template intentionally does not invent a jurisdiction.
